I misread that as "déposé" rather than "dépose" so was thinking that the representative's ability to act had been noted rather than that the representative might actually be handing over a document.

I understand that notaries have to keep official records in relation to meetings with clients. I had something similar recently and I'm sure there was something in the archive.

So might be best to say "noted in the records of M XXX" instead...
